Calculate labour costs for invoices

YourTradeBase allows you to easily calculate the labour costs for each of your invoice works items.

You can enter your labour costs onto your invoice in 2 ways:

Adding new labour costs

If you have a new rate of labour to enter to your invoice, or if you haven’t set up your labour rates:

  1. Within the invoice item you want to add labour costs to, click on the ‘Labour‘ price field

  1. The ‘labour panel’ for that item will open from the left-hand side of the screen.
  2. For each item of labour you want to cost, enter:
    • A description for that labour item (describe the labour rate you are charging for e.g. Standard labour, out-of-hours labour, plasterer labour etc)
    • The number and type of units being priced (select from hours, days, sq. mtr., sq. ft., units, etc)
    • The rate for that unit item (how much per hour, day, sq. ft. etc?)
    • Any markup you wish to apply to the labour cost.
    • The total will be automatically calculated based on: units x unit rate + markup %
    • You can enter as many labour rate items as you need. The running total will automatically update for every item you add.

  1. Click ‘back to invoice‘ when you’re done

The running total will then be displayed in the ‘Labour‘ field for that invoice item.

You can add labour costs to as many invoice items as you need.

Labour rates will be saved when you click the ‘Create‘ or ‘Save‘ buttons for your invoice.

New labour rates entered will be auto-saved to your labour rate price list

Any new labour rates you enter with a description will be saved to your labour rates price list. Learn more about managing your labour rates in your price list.

Selecting labour costs from your labour rates price list

If you have entered labour into previous paperwork, or you have set-up your labour rates in your price list, you can easily select those labour rates when creating or editing your invoices:

  1. Within the invoice item you want to add labour costs to, click on the ‘Labour‘ price field

  1. The ‘labour panel’ for that item will open from the left-hand side of the screen.
  2. For each item of labour you want to cost, click the ‘add from your labour rates‘ button.
  3. A drop-down selection will appear for you to choose which labour rate you want to use. Select the rate you want to use, the following details will be populated for you:
    • The description for that labour item
    • The rate for that labour item
    • Any markup included for that item
  4. Enter the units required for this labour rate. The total will be automatically calculated based on: units x unit rate + markup %.
  5. You can enter as many labour rate items as you need. The running total will automatically update for every item you add.

  1. Click ‘back to invoice‘ when you’re done

The running total will then be displayed in the ‘Labour‘ field for that invoice item.

You can also enter new labour rates into your labour panel – see above for adding labour rates

You can add labour costs to as many invoice items as you need.

Your labour rates will be saved when you click the ‘Create‘ or ‘Save‘ buttons for your invoice.

Displaying labour costs on your invoices

Once you’ve saved your invoice, you can select how you want labour to appear on your invoice.

Click the ‘Display options‘  button, and select from the following options:

  • Show a breakdown of labour with costs – Check both the ‘Show labour’ and ‘Show labour prices’ options
  • Show a breakdown of labour without individual costs – Check the ‘Show labour’ option and uncheck the ‘Show labour prices’ option
  • Show a summary of labour costs – Uncheck the ‘Show labour’ option and check the ‘Show labour prices’ option
  • Hide labour costs and include in invoice total – Uncheck both ‘Show labour’ and ‘Show labour prices’ options

As you select different display options, your invoice will be refreshed instantly to show you how the invoice will be displayed to your customer.

These display settings will be saved for the next new invoice you create.
